PRIVACY POLICY

1. What type of information do we collect?


We receive, collect and store information you provide us via the ‘contact us’ form entered on the uwsu-arrivals subsite. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. We also collect personally identifiable information (including name, email, communications); we do not collect or store payment details through the subsite (including credit card information). Comments, feedback, product reviews and recommendations may be collected as part of our review process to improve our services.




3. The Data Protection Champion


The data protection champion for the Students’ Union is Sarah Parsons and can be contacted with any concerns or questions surrounding the use and storage of your personal and sensitive data on su-data@westminster.ac.uk.




4. Legal Basis:


The Unions data collection and processing in relation to student representation is conducted on the basis for compliance with the 1994 Education Act and our chartable objectives. We also process data in your legitimate interest based upon your consent when prompted to do so by yourself though the completion of one of the contact forms located on the website.




5. How do we collect information?


When you contact us on the subsite, as part of our process to resolve your query, we collect personal information such as name, contact number and email address. Your personal information will only be used for the specific reasons stated in policy number 5 of this document.

We also collect session information via cookies stored from your device as mentioned in section one and five of this policy. If you wish to restrict or block web browser cookies which are set on your device then you can do this through your browser settings; the Help function within your browser should tell you how. Alternatively, you may wish to visit www.aboutcookies.org, which contains comprehensive information on how to do this on a wide variety of desktop browsers..




6. Why do we collect personal information?


  1. To provide and operate our services;
  2. To provide our Users with ongoing customer assistance and technical support;
  3. To create aggregated statistical data and other aggregated and/or inferred Non-personal Information, which we may use to provide and improve our respective services;
  4. To comply with any applicable laws and regulations.




2. The Data Controller


The data controller is The University of Westminster Students’ Union referred to and known as UWSU of 309 Regent Street, London, W1B 2HW and can be contacted on email by su-data@westminster.ac.uk.




7. How do we store, use, share and disclose our site visitors’ personal information?


Our Arrivals subsite is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to sell our products and services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall using an EU data warehouse.




8. How do we use cookies and other tracking tools?


Cookies are very small text files that are stored on your computer when you visit some websites. We use cookies to help identify your computer so we can tailor your user experience and track your engagement through the website. You can disable any cookies already stored on your computer, but these may stop our website from functioning properly.

The Union’s website will not share any personal information other than with third parties that have been described in our data protection policy. If you don’t want to receive cookies, you can modify your browser so that it notifies you when cookies are sent to it or you can refuse cookies altogether. You can also delete cookies that have already been set.

10. Privacy policy updates


We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.




11. Access to your data


UWSU takes the security of your information very seriously and therefore only authorised Union staff will have access to your data for the purposes specified in this privacy policy. We make sure that your data is only accessed for legitimate purposes by people who are facilitating your student experience. We will not share any individual details (including your email address) to any third party excluding the University of Westminster without your consent collected via this website. We do however use wix.com as the main data processor for data captured through this website.




12. Retention of data


Any data collected through the Arrivals subsite will stored only for the duration of the Arrivals programme. If you wish to withdraw your consent, please refer to policy 9.

16. Complaints


Should you have a complaint about the management of your data please contact the Data Protection Champion Sarah Parsons on su- data@westminster.ac.uk. You have a right to also complain to the UK Regulator of Data Protection. You can make a complaint or raise a concern to the Information Commissioners Office at https://ico.org.uk/make-a-complaint.
